Privacy policy

Vantage Events (“we”, “us”) respects your privacy. This policy explains what personal information we collect through vantageevents.co.za (the “website”), why we collect it, and your rights under the Protection of Personal Information Act 4 of 2013 (POPIA).

1. Who we are

Vantage Events is an event planning and management business in the Western Cape, South Africa. We are the responsible party for the personal information described here. You can contact our Information Officer at info@vantageevents.co.za or 063 227 1416.

2. What we collect

Enquiry form

When you send an enquiry, we collect:

• your name, email address and contact number (required);
• your company name, event date, event location and estimated budget (optional);
• the type of enquiry and your message;
• your consent to this policy.

Please don’t include sensitive information (such as health or financial details) in your message.

Technical information

Like most websites, our hosting provider automatically processes technical data such as your IP address, browser type and the pages you request, to deliver the website and keep it secure. Our spam protection (Cloudflare Turnstile) checks your browser to confirm a real person is using the form.

Cookies

We use only essential cookies and similar storage, including one that remembers your cookie choice. We do not currently use analytics or advertising cookies. See our cookie policy.

3. Why we use it

• to reply to your enquiry and discuss, quote for and plan your event;
• to protect the website and our inbox from spam and abuse;
• to keep records we are required to keep by law, if you become a client.

We process your information with your consent and, where you ask us to plan an event, because it is needed to take steps towards a contract with you. We do not sell your information or use it for direct marketing without your separate consent.

4. Who we share it with

We use these service providers (operators) to run the website. Each processes data only on our instructions:

Some of these providers process data outside South Africa. We use providers that are bound by agreements and privacy laws offering protection comparable to POPIA, as section 72 of POPIA requires. If you book an event, we may share relevant details (for example, your name and event date) with suppliers we engage for your event, only as needed to deliver it.

5. How long we keep it

The website does not store enquiries in a database; they are sent to our email inbox. We keep enquiries for up to 24 months so we can follow up on your event, then delete them. If you become a client, we keep records for as long as the law requires (for example, tax records for five years).

6. How we protect it

The website uses HTTPS encryption, security headers, spam protection and rate limiting. Access to our inbox is limited to the people who need it to respond to you.

7. Your rights

Under POPIA you may:

• ask whether we hold your personal information and request a copy;
• ask us to correct or delete it;
• object to our processing it, or withdraw your consent at any time;
• lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za.

8. Changes to this policy

We may update this policy, for example if we add analytics. The date at the top shows when it last changed.
